Privacy Policy

1. Who this covers

This policy explains how VioBot (the Discord bot, the web panel and related websites, together the "Service"), run by the team behind the Violet's Refuge SCUM server ("we", "us"), handles information. It covers three groups of people:

• Server owners and staff who sign in to a VioBot panel;
• Players and Discord members of a community that uses VioBot; and
• Visitors to VioBot's public pages.

Using VioBot also means using Discord and your game server host, which have their own privacy policies.

2. What we collect

Type	What it includes
Discord sign-in	Your Discord user ID, username, display name and avatar, from Discord's "identify" permission. We don't get your email, password, friends list or direct messages.
Panel account and settings	Your role, the staff you add, which tools you turn on, channel choices and other tool settings, and a log of admin actions taken in the panel.
Server connection details	The ggCON, SFTP and Discord bot details you enter, such as passwords and tokens. These are encrypted when saved.
Game server data	What the tools read from your SCUM server to work: player names and Steam IDs, online status and in-game positions, in-game chat, kills, deaths, fame and currency balances, vehicles, flags, squads, and server log entries. Server logs can include players' IP addresses, which tools use for moderation and security.
Discord community data	What tools need in your Discord: member IDs and names, messages the bot posts or manages (for example support tickets, suggestions and votes), button and reaction clicks, and links between a player's Discord and in-game accounts.
Tool records	Records tools create, such as registered vehicles, insurance claims, coin balances and purchases, warnings, bans, watchlist entries and leaderboard history.
Technical data	A sign-in cookie that keeps you logged in, and basic web server logs (IP address, browser type, pages requested, time) used for security and troubleshooting.
Payment data	When paid plans launch: your plan and payment status. Card details are handled by the payment provider, and we never see or store them in full.

We don't use advertising trackers or sell analytics data. Public pages like this one don't set cookies.

3. How we use it

• To run the tools a server owner turns on, such as posting leaderboards, handling tickets or paying out insurance;
• to sign you in and check what you're allowed to do;
• to keep the Service and the communities using it secure, including spotting abuse, alt accounts and ban evasion when a server owner enables those tools;
• to fix bugs, answer support requests and improve VioBot; and
• to bill paid plans and meet legal obligations.

We don't use this information for advertising, and we don't sell or rent it to anyone.

4. Who we share it with

• Your own server's staff. Staff the server owner adds can see that server's data, according to their role.
• Discord and your game server host. VioBot sends and receives data through them to do its job.
• Service providers that help us run VioBot, such as hosting, payment processing and, if a server owner turns them on, IP or VPN lookup services. They may only use the data to provide their service to us.
• Legal reasons. If required by law, or to protect people's safety or the Service.
• A change of ownership. If VioBot is transferred to someone else, this policy would continue to apply to your data.

One server's data is never shown to another server's owner or staff.

5. How we protect it

Connections to the panel use HTTPS. Saved passwords and tokens are encrypted on disk and are never sent back to the browser. Each server's settings are kept separate. Panel access is limited to people the server owner adds, and roles limit what each person can change. No system is perfectly secure, but if we learn of a breach that affects you, we'll tell affected server owners promptly.

6. How long we keep it

• Panel accounts, settings and tool records are kept while the server uses VioBot.
• Server log data is kept only as long as the tool that uses it needs it, or as the server owner sets.
• When a server leaves VioBot (the bot is removed and the owner asks us to close the account), we delete that server's data within 30 days, apart from anything we must keep for legal or billing reasons.
• Web server logs are kept for up to 90 days.

7. Your choices and rights

• Ask what we hold about you, or ask us to correct or delete it.
• Stop using VioBot at any time: sign out, or as a server owner, remove the bot from your Discord.
• Players: much of your data is controlled by the server you play on, so it's often quickest to ask that server's staff first. You can also contact us directly.

Depending on where you live (for example the EU, the UK or California), you may have further rights, such as getting a copy of your data or objecting to how it's used. We'll respond to requests within 30 days. We may need to confirm who you are first, usually through your Discord account.

8. Notes for server owners

When VioBot handles your players' data, it does so on your behalf and on your instructions. You decide which tools to turn on and what they collect. Please tell your community that your server uses VioBot (a link to this page in your rules or welcome channel works well), and only turn on tools you have a good reason to use.

9. Children

VioBot isn't meant for children under 13 (or the minimum age for Discord where you live), and we don't knowingly collect their information. If you think a child has given us information, contact us and we'll delete it.

10. Where data is stored

VioBot is run from the United States, and data is stored and processed there. If you use VioBot from outside the US, your information will be transferred to the US.

11. Changes to this policy

We may update this policy. When we do, we'll change the "Last updated" date above, and for significant changes we'll post a notice in the VioBot Discord before they take effect.
